Evidence review meeting agenda

Run the meeting from the question to the handoff.

This agenda gives engineers, reviewers, architects, managers, release reviewers, and owners a compact script for inspecting deterministic static evidence before repeating a public-facing conclusion.

Public claim level: concept. No public conclusion without evidence. The agenda is a human meeting aid for static evidence review, not meeting automation, release approval, runtime proof, production traffic proof, endpoint performance proof, absence-of-impact proof, complete coverage, AI analysis, LLM analysis, or a replacement for human judgment or governance.

Before the meeting

Start with the question before any claim is repeated.

Frame the questionName the bounded review question, the repeated wording under review, and the audience that needs the answer.
Prepare the proof pathBring public-safe proof paths, or mark the proof path as missing before discussion begins.
Bring evidence metadataAttach rule ID or rule family, evidence tier, coverage label, limitation, and public-safe provenance when available.

Agenda

Eight rows keep the review attached to evidence.

Required meeting rows. Each row carries a purpose, evidence input, and stop or handoff output so unsupported wording is removed, downgraded, or assigned before notes are shared.

owner follow-up Assign the next owner for unresolved review work. Open gaps, unresolved questions, and needed evidence category. Role-based owner and requested follow-up.
decision record Prepare bounded handoff notes. Question, evidence state, validation evidence category, limitations, gaps, owners, and non-claims. Decision-record ingredients preserved with limitations and without stronger claims.
closeout Review notes before they leave the room. Draft notes, unsupported wording, open gaps, and owner assignments. Unsupported claims removed, downgraded, or assigned to a non-static owner.

Gaps become follow-up rows, not quiet upgrades.

Record the missing proofUse the gap register pattern when a proof path, validation evidence category, or public-safe summary is absent.
Name the evidence stateReduced, unknown, unavailable, syntax-only, and private-only coverage stays visible.
Keep wording boundedUnsupported runtime, release, safety, production, performance, absence-of-impact, coverage, AI/LLM, or governance wording is moved into a stop condition.

Owner assignment

Assign the next question to a role, not a private name.

Decision record handoff

Hand off the boundary, not a stronger answer.

The handoff should preserve the bounded question, static evidence state, validation evidence category, rule ID or rule family, proof path, evidence tier, coverage label, limitation, gap rows, next owners, and non-claims. Use the decision record when the meeting needs a durable result, and the handoff template when the next owner needs portable fields.

Stop conditions

Stop, downgrade, move private, or assign an owner when a boundary appears.

Non-claims

The agenda keeps static evidence separate from decisions it cannot make.
